Managed AI Agents: What Monthly Management Covers

Direct answer: Managed AI agent support means someone watches your live agent, fixes it when inputs or tools change, and reports on how it is doing. Our plans cost $290, $590 or $1,190 per month excl. VAT, and the model and tool usage fees are billed separately by the providers.
Why an AI agent needs running after launch
An agent that passed its tests on day one is not finished. It works inside a world that keeps moving, and small changes add up.
The usual reasons an agent drifts after launch:
- Inputs change. A supplier switches its email layout, a form gets a new field, or customers start writing in a different way.
- Tools change. An integration updates its interface or permissions, and a step that worked yesterday now fails.
- Models change. Providers release new model versions and retire old ones. The same instruction can produce slightly different output.
- Edge cases appear. Real data brings cases that sample data never showed.
- Usage grows. More runs mean higher usage fees, and a loop or a retry storm can push them up fast.
None of this is a reason to avoid agents. It is a reason to plan who looks after them. If you are not yet sure an agent is the right tool at all, our post on AI agents vs chatbots explains the difference.
What monthly management covers
Management keeps existing workflows healthy. It is not a new build. In practice it covers five jobs:
- Monitoring. Checking runs, failures and alerts, so a broken step is found before it causes damage.
- Logs and review. Looking at what the agent did, especially the cases a person rejected at the approval step.
- Fixes. Adjusting instructions, rules or tool connections when inputs or integrations change.
- Testing after changes. Re-running sample cases after a fix or a model update, so one repair does not break something else.
- Reporting. A short summary of what ran, what failed, what was changed and what to watch next.
The human approval step stays in every flow. Management does not remove it to save time. Anthropic's guide to building effective agents makes a similar point: more autonomy brings more cost and more room for compounding errors, so it calls for testing and guardrails.
The two cost blocks: service fee and usage fees
Running an agent has two separate costs. Mixing them up is the most common budgeting mistake.
| Cost block | What it pays for | Who bills you | How it behaves |
|---|---|---|---|
| Management fee | Monitoring, fixes, testing, reports | ARCHİRENK | Fixed per month, by plan |
| Model usage | The AI model processing each run | The model provider | Varies with volume and task length |
| Tool usage | Other services the agent uses | Each tool provider | Varies by provider and plan |
Our monthly plans, excl. VAT:
- S — $290/month: 1 workflow, monthly report.
- M — $590/month: 3 workflows, weekly monitoring and a monthly report.
- L — $1,190/month: 6 or more workflows, priority support and a monthly improvement round.
Model and tool usage fees are paid by you, directly to the providers. Setting up a new workflow is priced separately; the one-off build cost is covered in our post on custom AI agent development cost.
In-house, managed or "set and forget"
There are three realistic ways to run an agent. Each one can be the right choice.
| Option | Who watches it | Good fit | Main risk |
|---|---|---|---|
| In-house | Someone on your team | You have a technical person with spare time | Knowledge sits with one person; watching slips when they are busy |
| Managed service | An outside team on a monthly plan | No in-house time, agent depends on outside tools | You depend on a supplier; scope must be clear |
| Set and forget | Nobody | Very simple, low-risk tasks only | Silent failures and unexpected usage bills |
In-house works well if the person knows the workflow, has access to the logs and has time every week. Be honest about that last part. A managed plan makes sense when the agent matters to daily work but nobody can own it. "Set and forget" is only safe for low-stakes tasks, and even then usage fees deserve a look.
How we run our own agents
Our clearest example is our own. Akkademi, the founder's ALES/DGS exam-prep platform, was built without a software team, using AI agents with defined roles. The agents share one rules file, and nothing goes live without passing a release gate: backup, test, release, live check, and rollback if something is wrong. A person approves each release.
The Akkademi case study explains the setup in more detail. The same habits shape our management plans: clear roles, written rules, a gate before changes, and human approval.
Questions to ask any AI agent management provider
Before you sign up with anyone, including us, get clear answers to these:
- [ ] Which workflows are covered, and what counts as one workflow?
- [ ] How often is the agent monitored, and what triggers an alert?
- [ ] What is included as a fix, and what is billed as new work?
- [ ] Who pays model and tool usage fees, and how do I see them?
- [ ] What happens when a provider changes or retires a model?
- [ ] Where is the human approval step, and can it be removed? (It should not be.)
- [ ] How is personal data handled, and is there a written data processing agreement?
- [ ] Is there a backup and a rollback plan before changes go live?
- [ ] What does the report contain, and how often do I get it?
- [ ] How do I leave, and what do I receive when I do?
A provider that promises business results or "fully autonomous" operation is a warning sign. We do not guarantee outcomes, and we only process personal data under a written data processing agreement. How we work describes our review and handover steps.
Frequently asked questions
How much does monthly AI agent management cost?
Our plans are $290 per month for 1 workflow, $590 for 3 workflows and $1,190 for 6 or more workflows, excl. VAT. Model and tool usage fees are paid separately to the providers.
Is monthly management required after setup?
No. It is optional. It helps most when the agent depends on outside tools that change, or when nobody on your team has time to watch it.
Does the plan include building new workflows?
No. Management keeps existing workflows running. A new workflow is set up and priced separately.
Can a managed agent act without a person checking it?
Not in our setup. Every flow has a human approval step before a sensitive action, because AI output can be wrong.
Do you guarantee results?
No. We monitor, fix and report, but outcomes depend on your data, your process and the providers you use.
